Responsible for reviewing and auditing expense reports, tuition and uniform reimbursements for all affiliated company employees. Ensure that all reimbursement requests comply with the current Travel and Entertainment Policy and within IRS guidelines. Advise employees of exceptions and train how to resolve. Use professional judgment to identify and research questionable items. Ensure that all work flow is completed in accordance with assigned daily/weekly deadlines.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Prepare and review all expense reports within 24 hours of receipt, ensuring required support and proper account coding is present as defined by the Financial Policies and Procedures Manual and that reimbursement requested agrees with supporting documentation.
Assist in training the field customers by reviewing, diagnosing, and rejecting all Expense Reports not meeting standards.
Obtain a thorough working knowledge of and continually apply company Travel Policy.
Send out and follow up on expense rejections with field customers, recommend solutions, and obtain correction of exceptions.
Identify and communicate issues with exceptions to all employees in an effort to reduce future exceptions and build and maintain working knowledge of submission policies by field customers.
Communicate with travel agencies regarding issues of vaulted, exchanged and refunded tickets. Communicate notable findings to management as appropriate.
Maintains log of all invoice submissions including rejected items and the outcome.
Communicate all problems/issues to the Payroll Manager and/or the National Purchasing Director.
Work with the National Purchasing Director on modifications for Travel Policy.
Performs fundamental mathematical computations and tabulates data using office machines as required.
Responsible for adhering to all company policies and procedures.
